Accomplishments 2018

These were made possible by the volunteer efforts of the Board and Fine Committee, plus informal support from countless residents along the way.

Improved Communication
  • HOA website continuously updated with the latest information
  • HOA bulletin board updated for each meeting
  • HOA president personally communicating via email
  • Two paper newsletters mailed
  • Four community gatherings held
  • 33 Rizzetta/Titan database updates: adding owner names, updating emails/phone numbers, fixing typos and incorrect mailing addresses, etc.

Townhomes
  • Leaf pickup project: removed 180 50lb bags not picked up by landscaper.
    • New landscaper/irrigation company was hired which now includes leaf pickup in contract
  • Acorn cleanup: 1.5 tons of acorns removed!
  • Two landscape fill in projects
  • Gutter project underway
  • Mulch project underway
  • Painting project underway
  • Budget: monthly assessments lowered from $164.50 in 2016 to $160 in 2017 to $150 in 2018 to $145 in 2019
    • $145/mo Townhome Retained Earnings credit means no HOA payments necessary in 2019

Shared
  • Switched management company from Rizzetta to Titan, negotiated bulk discount to lock in rates for 3 years
  • Improved coordination with Master HOA
    • Negotiated same bulk discount 3 year rate lock in for Master
    • 102 trip hazards repaired on HOA sidewalks (separate from county sidewalk project)
    • Road signs illegally installed on Master property were removed
    • Increased security presence at the pool and meetings due to overwhelming feedback from residents
    • Irrigation finally restored to back pond of Phase 1 after 5 years out of service
    • Perennials and mulch refreshed around the monuments
    • Hurricane tree cleanup (Phase 1 and Master): raising limbs, removing hangers, removing moss
    • Master pressure washing completed
    • Ponds cleared of litter and storm debris
    • Community yard sale coordinated with the Master
  • Community litter pickups, HOA team litter pickups and personal litter pickups
    • Over 30 buckets of storm debris personally removed by the president
  • About 75 ARB applications processed
  • Collections policy improved to allow more time for homeowners to bring accounts current
  • Budget: lowered common/shared assessments from $15/mo to $12/mo
  • Renovated HOA owned townhome, now generating $1600/mo rent

County
  • Coordinated with county to repair sidewalks damaged from tree roots
  • Assisted Code Enforcement and Animal Control
  • Sole Beacon Park representative at Orange County town hall

Committees
  • Three events held
    • Easter event with bunny character and egg hunt
    • Halloween event with treats and pumpkin decorating
    • Coordinated Titan lifestyles food truck event with Master
  • About 60 violations corrected and fines waived
  • About 30 yards replaced this year as part of the focused yard effort, many more improved

  • Eight community gatherings held
  • 302 Rizzetta database updates: adding owner names, updating emails/phone numbers, fixing typos and incorrect mailing addresses, etc.

Townhomes
  • Hurricane repairs: shingles replaced, roofs repaired, soffits and fascias repaired, seal/caulk touchups
  • Pressure washed driveways and breezeways in November, buildings and sidewalks scheduled for December
  • Paver project completed: 94 notarized authorizations out of 102!
  • Landscape upgrades
    • Over 40,000 sq ft of sod replaced
    • Beds in front simplified and improved
  • Budget: monthly assessments lowered from $164.50 in 2016 to $160 in 2017 to $150 in 2018

Shared
  • Improved coordination with Master HOA
    • Fixed billing for annuals (flowers) incorrectly billed to Phase 1
    • Trimmed/thinned Master roadside trees before the hurricane
    • Security patrol service speaker at community gathering
    • Sheriff Neighborhood Watch speaker at community gathering
    • Master dissolution efforts under way!
  • Community litter pickups, HOA team litter pickups and personal litter pickups
  • Food drive
  • Paint removed from street GFW
  • Hurricane cleanup: landscaping and yard waste removed
  • Community yard sale coordinated with the Master
  • Budget: consolidated and improved to maintain low monthly fees
    • Worked with Rizzetta to formally separate retained earnings for shared budget and townhome budget
  • Raised awareness of collections policy
  • Purchased bankruptcy property at auction, now generating rental income instead of fee loss

County
  • Several potholes and one sinkhole fixed
  • Code Enforcement assisting with solid waste and junk cars

Committees
  • Appointed an HOA Events Coordinator
    • Hosted Xmas event with Santa arriving on Orange County fire engine!
  • Created Townhome Committee
  • Added two new members to the Fine Committee
    • Over 150 violations corrected and waived
    • About 60 yards improved this year as part of the focused yard effort

Board of Directors
  • Treasurer/Secretary added to the Board
  • Created Fine Committee: three members and two alternates

Fine Committee
  • Rules and Regulations: identified and organized, provided BOD clarifications, updated for 2017
  • Architectural clarifications updated for 2017
  • 309 fines issued, 132 challenged and 120 waived, many more issues corrected as a result
  • At least thee tenants have been evicted and at least one squatter removed by a bank owned property

Improved Communication
  • HOA website reinstated and improved
  • HOA president personally communicating via email
  • Metal yard sign purchased for the entrance
  • Bulletin board installed by the pool
  • Two paper newsletters mailed
  • Six community gatherings were held, in addition to the annual Members meeting
  • Fine Committee presence on Next Door
  • 124 Rizzetta database updates: adding owner names, updating emails/phone numbers, fixing typos and incorrect mailing addresses, etc.

Townhomes
  • Pressure washed buildings, driveways, sidewalks, curbs in May
  • Trimmed trees to provide more sunlight
  • Terminated/switched irrigation vendor, grass showed some improvement but not enough
  • Terminated/switched landscaping vendor, coordinated same new vendor for Phase 1,2,3,M for 2017

Shared
  • Litter pickup
  • Model parking sign removed after 10 years
    • broken sign on J Lawson also removed
  • Fixed several fence railings
  • Pressure washed wall/fence, sidewalks
  • Removed graffiti and stains on wall
  • Edged common sidewalk for about 80 homes
  • Street lights inspected in May: 17 reported to Duke Energy
  • Community yard sale
  • Budget: consolidated and improved to lower the monthly fees
  • Collections: bad debt expenses finally going down
  • Foreclosed one bankruptcy property, now generating rental income instead of fee loss

County
